  • Matters Related to Safety Control MeasuresOur company takes necessary and appropriate safety control measures to prevent the leakage, loss, or damage of personal data and to properly manage it. Additionally, we exercise necessary and appropriate supervision over employees and contractors (including subcontractors) who handle personal data. Regarding the security management measures for personal data, they are specifically stipulated in internal regulations separately, and the main contents are as follows. For outsourcing the handling of personal information abroad, please refer to section 8 below.
    (1). Formulating basic policies for implementing responses stipulated by laws, regulations, and guidelines to ensure proper handling of personal information and personal data.

    (6). Technical security management measures such as the implementation of systems to protect information systems handling personal data from unauthorized external access or malicious software.
  • Outsourcing destinations for handling personal information in foreign countriesWe may entrust VIETNAM CAMCOM Co., Ltd , a group company located in the Socialist Republic of Vietnam (hereinafter referred to as “Vietnam”), with tasks within the scope necessary to achieve the purposes of use stated in section 2 above. The measures we have taken when entrusting the handling of personal information to the foreign subcontractor are as follows.
    (1).Method of providing personal information to the foreign subcontractor
    We provide personal information under a consignment contract concluded between our company and the foreign subcontractor.
    (2).Measures Implemented by Foreign Subcontractors
    In the outsourcing contract, it is stipulated that the foreign subcontractors will handle personal data only within the scope of the outsourced work, take necessary and appropriate safety management measures, and conduct necessary and appropriate supervision of their employees.

    (4).Frequency and Methods of Confirmation
    Our company will verify the measures implemented by the foreign contractors mentioned in (2) above once a year by receiving written reports from the foreign contractors.
    (5).Suspension of provision of personal information
    If the foreign subcontractor handles personal information in a manner that violates the subcontracting contract, including the measures mentioned in (2) above, and even after we promptly request correction based on the subcontracting contract, the handling is not corrected within a reasonable period and it is judged difficult to ensure the continuous implementation of appropriate measures, we will suspend the provision of personal information to the foreign subcontractor.
  • Application procedure for disclosure, etc. of personal informationRegarding the personal data we hold, the procedures for responding to requests from the individual concerned for notification of the purpose of use, disclosure, correction, addition or deletion of contents, suspension of use, erasure, and suspension of provision to third parties, as well as disclosure of records of provision to third parties (hereinafter referred to as “requests for disclosure, etc.”), are as follows.

    Once the Personal Information Disclosure Request Form arrives at our company, we will verify your identity based on specific personal information held by us.

    (4).Fees related to notification of the purpose of use of personal information and disclosure

    Only in cases of notification of the purpose of use and disclosure of personal information (including disclosure of records of third-party provision), the following fees will be charged.
    A fee of 2,000 yen (tax included) is charged per request.
    Please enclose postage stamps worth 2,000 yen (for example, twenty 100-yen stamps; the type of stamps does not matter) with the submitted documents.
    If the fee is insufficient or stamps are not enclosed, we will contact the requester. However, if payment is not made within the specified period, we will treat it as if no request for payment was made.

    (5).Method of response to disclosure requests, etc.

    We will respond using the method selected in the disclosure request form.

    (6).Handling of personal information obtained through disclosure requests, etc.

    It will be handled in accordance with our company’s personal information handling policy. Please note that personal information disclosure request forms and attached documents that you send will not be returned.

    (7).The following information is not subject to disclosure and therefore we cannot respond to requests for disclosure of such information.

    A fee will be charged only for notifications of the purpose of use and disclosure of personal information (including disclosure of records of provision to third parties).
